SPECIFIC TASK INSTRUCTIONS

Case Study
SBreads are speciality bread shops located in Sydney CBD. They are owned by Bruce and Megan. There are 3 shops in CBD and a bakery located on the Northern Beaches in Brookvale. There are 10 employees in the shops and 4 in the bakery. The bread is baked fresh every day and the shops are reliant on walk in business during the work week. There is a seating area for 20 customers in each shop. Coffee is also sold at each shop to have-in or take away. Megan looks after the administration and they have an accountant who does the payroll. There is a cash register in each shop which gives a listing of end of day takings. The takings are banked each day.
The accounts are done on spreadsheets and sent to the accountant after the end of each financial year. Megan also keeps a roster of staff on a spreadsheet. The ingredients for the bread and filling are purchased on Megan’s Hotmail account and the invoices are sent by mail. They have one laptop, two PCs at the bakery and a local printer. A website was set up a few years ago but has not been updated recently.
The bakery finds that it is buying the wrong mix of ingredients and feels there is not enough information to match supply and demand.
While they have an excellent product, a number of competitors have opened up in the area recently. While business is good, there has been a slow but gradual fall off in business over the past 12 months.

You have been recently hired with a view to improving sales and introducing efficiency and cost savings.
In addition, Bruce and Megan have been hearing about Cloud Computing and how it can lead to innovation and growth for SME’s and have drawn your attention to the following link (pdf available under ‘Additional Resources’ folder on Studespace:

The silver lining: cloud computing and small and medium enterprises

On your first week you have interviewed Megan and Bruce and travelled around to each of the outlets and bakery speaking with staff. Based on interviews and observations you have noted down some important issues and pain points:
 Do not have details of who customers are.
 Do not have information on sales trends and best sellers.
 Do not have ability to record loyalty information.
 Do not know how we are doing financially until end of year.
 No information on other potential market opportunities in CBD or Northern Beaches.
 Difficulty in managing stock as up to date sales are not available.
 May buy too much of the wrong flour or fillings.
 Do not know favourite coffee blends.
 No backup of data from laptop or infrequently backed up.
 Paper files are kept at bakery and at each outlet.
 Employee contracts are in filing cabinet at Bakery
 Supplier Contracts are kept at Bakery
Personal Expense Claims are paper based and Megan makes all payments by using Online banking
The PCs and Laptop are not connected and files have to be copied
When Megan is at outlet, she can’t print.
Recently there have been a number of problems:
 Megan lost her Laptop and her last backup was a week prior.
 One of the computers had a virus and some data was lost. It cost to repair.
 The MS Software had to be upgraded.
 The software on computer has been slow even though each outlet has NBN broadband.
Bruce has heard that a gourmet outlet down the road has been taking orders over the internet for a training company.
Megan would like to work from home some days but a lot of the data is on the PCs at the bakery.
Bruce would like to keep up to date on sales while travelling between outlets and bakery.
